projects360 proOps 10.0.43 for Project Operations introduces a set of new features such as ‘Linking multiple Opportunity lines to the same Project’, ‘Unit codes integration from F&O to PO’ and ‘Labor Multiplier calculation for Fee estimator versions’. This release also includes enhancements to existing features such as ‘Opportunity lines’, ‘Project tasks’, ‘Copy processes for Projects and Opportunity lines’, ‘WBS planner’, ‘Effort Allocation’ and ‘Subprojects’.
New Features
Linking multiple Opportunity lines to the same Project
This feature enables users to associate multiple opportunity lines with the same project within a single opportunity.
- A “Link to Existing Project” button is available in the opportunity line grid. This button appears when the opportunity line status is “In Process” and the “Project” field is blank.
- It enhances the “Close as Won” process by allowing multiple opportunity lines to be linked to the same project, ensuring that multiple contract lines can be created within the existing contract.
- It also enhances the “Copy from Fee Estimate” functionality, enabling users to select estimate versions from any opportunity line linked to the project.
- In addition, users have the ability to unlink previously linked Opportunity lines to the same project from the Opportunity form.
- Unlinking is allowed if the Opportunity line is linked to a common project and has the status “In Process”.
- Once unlinked, Fee Estimate versions associated with the Opportunity Line will no longer be available for the project when using the “Copy from Fee Estimate” functionality.
Unit codes integration from F&O to PO
This new feature enables the seamless integration of Unit Codes from Finance & Operations (F&O) to Project Operations (PO), ensuring consistency across systems.
- Integrates Unit Codes along with related details such as Description, Transaction Type, and Company.
- Enhance efficiency by automating data flow between F&O and PO.
Labor Multiplier calculation for Fee estimator versions
This feature enables users to apply up to 10 compounded percentage levels to calculate the total multiplier for a specific Fee Estimate version and xl360 Fee Estimator spreadsheet.
- A Labor Multiplier Calculation grid allows users to create and manage records linked to a selected estimate version. The consolidated multiplier value, including the base value of 1, is automatically rolled into the Labor Multiplier Override field of the estimate version.
- An “Update Multiplier from Estimate Version” option is available in the Labor Multiplier Override cell within the Fee Estimator spreadsheet. This option allows users to update or reset the cell’s value based on the Labor Multiplier Override field from the associated Opportunity Line Estimate Header record.
Features Enhanced
Canceling bookings for draft Projects when an Opportunity line is lost
This enhancement allows users to automatically cancel all bookings for a project when the associated opportunity line is lost.
- This applies to projects in the Draft state.
- When selecting “Close as Lost”, a confirmation dialog appears asking whether to cancel all existing project bookings.
- Upon confirmation, all bookings for team members linked to the project via the opportunity line are canceled.
Restriction on deleting Project tasks for approved Contracts
This enhancement prevents users from deleting project tasks under the following conditions:
- Actuals are created in Project Operations.
- Journals or timesheets are recorded against the tasks in Finance & Operations.
- Contract agreement lines related to the tasks are approved.
Adding ‘Principal’ and ‘Project Accountant’ to Project Operations forms and Dual-write mapping with F&O
This enhancement expands the dual-write mapping process for the Project Manager field by incorporating two additional responsible fields: Principal and Project Accountant. These fields are automatically synchronized from Project Operations to Finance & Operations (F&O) when a project or subproject is created and synced in F&O.
- These fields appear in various forms based on the activation of Responsible Field Parameters within the Company Parameters form.
- The fields are available in the Opportunity Line, Opportunity Line Estimate Task, Project, and Project Tasks forms.
- In addition, the new responsible fields will be added to existing copy processes in Projects and Opportunity Lines.
- Copy Project : Copies responsible fields from the source project to the target project.
- Copy from Fee Estimate : Transfers responsible fields from Opportunity Line Estimate Tasks to Project Tasks.
- ‘Duplicate’ and ‘Copy from Estimate’ : Responsible fields from the source Opportunity Line Estimate Tasks are copied to the corresponding tasks in the target estimate version.
Locking down WBS and Effort Allocation spreadsheet during copy process
This enhancement prevents edits to the WBS and Effort Allocation spreadsheet while tasks are being copied using the “Copy Tasks from Fee Estimate” functionality.
- Ensures data integrity by preventing modifications during the copy process.
- Avoids discrepancies that could arise from simultaneous changes.
Error message for incomplete Project structure notification
This enhancement alerts users when an incomplete project structure is detected in Fee Estimate versions while editing the Fee Estimator.
- This is controlled by the “Enable Advanced Validation” parameter. When set to “Yes,” it allows users to receive alerts if the project structure in the Fee Estimator is incomplete.
- The system identifies missing required fields, such as Task, Task Start Date, or Labor Items in the spreadsheet.
- Missing data is highlighted, and a error message is displayed to notify users. The message disappears automatically once all necessary information is completed.
Improving Effort Allocation performance with Paging
This enhancement addresses performance issues in the Effort Allocation spreadsheet, particularly for large project task structures that take a long time to load or fail to open due to memory constraints.
- To enhance performance, the number of visible period columns (e.g., weeks, days) is dynamically adjusted based on the project structure.
- The number of period columns is determined using the formula: Number of columns = 100,000 / Number of rows where Number of rows = Total tasks + Assigned resources.
- The user will be able to show other period columns using the ‘Start date’ and ‘End date’ filters.
- When working with large projects and adding Bookable Resources or new tasks/subtasks, a warning message informs users about the number of displayed period columns.
Subproject Sequence configuration in F&O
This enhancement introduces a new parameter called “Initial Subproject Number” in projects360 integration parameters of Finance & Operations (F&O).
- When syncing the project structure from Project Operations to Finance & Operations, subprojects will now follow the number defined in this parameter.
- This parameter accepts only whole numbers (integers) without decimals.
Refresh Calendars contextual menu option in WBS Planner
This enhancement enables users to refresh calendar information from the WBS Planner, ensuring that period cells in the Effort Allocation spreadsheet reflect the latest configuration updates for each Bookable Resource.
- By right-clicking on a Labor item contextual menu and selecting “Refresh All Calendars”, the Effort Allocation spreadsheet updates all Bookable Resources with the latest calendar configuration.
- By right-clicking on a Labor item contextual menu and selecting “Refresh Calendar”, only the corresponding resource’s cells in the Effort Allocation spreadsheet are updated based on that resource’s most recent calendar configuration.
